The terms that apply to users, administrators and organisations accessing the CAQA QMS quality management platform.
These Platform Terms apply to users, administrators and organisations that access CAQA QMS software, portals, dashboards, online systems or hosted environments. Users must keep account details secure, use the platform lawfully, protect confidential information, avoid unauthorised access and comply with any administrator, subscription or acceptable-use requirements. CAQA QMS is part of CAQA Groups and a Career Calling International Pty Ltd (ABN 53 162 651 238) initiative.
CAQA QMS is quality management software built for quality managers, compliance officers, registered training organisations, ELICOS colleges, higher education providers, businesses and government teams that need policy control, audit tracking, evidence management and continuous-improvement workflows. This website describes the platform - controlled documents, audit programs, nonconformance management, CAPA workflows, risk and opportunity registers, management review, competence and training records and certification-ready reporting - and allows you to make an enquiry or request a demonstration. These Platform Terms apply to every person granted access to a CAQA QMS environment, whether as an administrator, a standard user, a read-only reviewer or an external auditor invited by a subscribing organisation.
The platform provides controlled document registers, approval workflows, review scheduling and automatic version history. Superseded versions are retained so that your organisation can demonstrate what was in force at any point in time. The subscribing organisation remains responsible for the content, accuracy, approval and currency of its own documents. CAQA QMS records who changed what and when; it does not decide whether a policy or procedure is correct, lawful or suitable for your operations.
Audit schedules, findings, nonconformance records, corrective actions and management review minutes created in the platform belong to the subscribing organisation. Evidence uploaded to the platform must be lawfully obtained, must not infringe third-party rights and must not contain material that is unlawful, offensive or knowingly false. Your organisation is responsible for ensuring that evidence is genuine, complete and attached to the correct records, and for obtaining any consents required before uploading documents that contain personal information about staff, students or other individuals.
Access is role-based. Administrators nominated by the subscribing organisation control user accounts, permission levels, workflow assignments and record visibility. Administrators are responsible for granting access only to authorised people, removing access promptly when staff leave or change roles, and reviewing permissions periodically. All users must keep credentials confidential, must not share logins and must notify us promptly if they suspect unauthorised access to their account.
CAQA QMS can be configured to reflect your organisation's structure, standards, registers, workflows and reporting needs. Configuration choices - including which standards you map to, how audits are scheduled and how findings are classified - are made by the subscribing organisation. We can advise on common configurations, but the final configuration and its ongoing maintenance remain the client's responsibility.
The platform supports quality governance; it does not replace it. Decisions about policies, risk acceptance, corrective actions, resourcing, disclosure and regulatory responses remain with the subscribing organisation's management and governing body. Reports, dashboards and evidence packs produced by CAQA QMS reflect the data your team enters, and should be reviewed by competent personnel before being relied upon for regulatory, certification, contractual or operational decisions.
You must not use the platform to store or transmit unlawful material, attempt to gain unauthorised access to any system or data, interfere with the operation or security of the service, conduct unauthorised security testing, or resell or provide access to the platform to organisations that do not hold a subscription. We may suspend accounts that present a security risk or breach these terms, and will work with the subscribing organisation's administrator to resolve issues.

The public website collects only the personal information you choose to provide when you submit the contact form, request a demonstration or subscribe to the newsletter - typically your name, organisation, email address, phone number and message. Our Privacy Policy and Data Processing and Security Notice explain how that information is handled. No payments are taken through this website. Platform subscriptions are arranged under a written agreement and invoiced directly, as described in our Subscription Terms.
