How CAQA QMS subscriptions are established, billed, renewed, varied and cancelled.
These Subscription Terms apply to organisations that subscribe to CAQA QMS, the quality management platform operated as part of CAQA Groups and a Career Calling International Pty Ltd (ABN 53 162 651 238) initiative. They explain how subscriptions are established, what they include, how billing and renewal work, and how a subscription can be varied, suspended or ended. They should be read together with our QMS Platform Terms, Privacy Policy and Data Processing and Security Notice.
CAQA QMS is used by quality managers, compliance teams, registered training organisations, higher education providers, businesses and government bodies. Subscriptions are not sold through an online checkout and no payments are taken through this website. A subscription is established when your organisation accepts a written proposal, order form or service agreement that records the subscription tier, number of users, included modules, fees, term and any implementation services. The website's role is to describe the platform and let you make an enquiry or request a demonstration.
Unless your agreement states otherwise, an active subscription includes access to the agreed CAQA QMS modules - such as controlled documents, audit programs, nonconformance and CAPA workflows, risk and opportunity registers, management review and training records - hosting of your organisation's environment, routine platform updates, and support as described on our Support and Service Levels page. Implementation, configuration assistance, data migration and training may be included in your agreement or quoted separately.
Subscription fees are invoiced directly to your organisation in accordance with your agreement, usually annually or monthly in advance. Invoices are payable by the due date stated on the invoice. Fees stated in proposals are exclusive of GST unless indicated otherwise. Because payments are handled by invoice under your agreement rather than through this website, no card or bank details are collected or stored by this website.
Unless your agreement says otherwise, subscriptions renew for successive terms at the then-current fee, and we will give reasonable written notice of any fee change before renewal. You may request changes to user numbers, modules or tiers at any time; agreed changes take effect from the date confirmed in writing and may adjust your fees on a pro-rata basis.
We may suspend access to the platform where invoices remain unpaid after a reminder, where an account presents a security risk, or where the platform is being used in breach of the QMS Platform Terms. We will restore access promptly once the issue is resolved. Suspension does not delete your data.
You may cancel a subscription by giving the written notice specified in your agreement. Either party may terminate for a material breach that is not remedied within a reasonable period after written notice. On expiry or termination, access to the environment ends and final invoices become payable in accordance with the agreement.
Your records - documents, audit histories, registers and evidence - remain your organisation's data. On request within the period stated in your agreement (or thirty days where no period is stated), we will provide an export of your data in a reasonable, commonly used format before it is securely deleted from the production environment in line with our retention practices.
Because subscriptions are invoiced under a written agreement, refund and credit requests are handled under that agreement. Fees for periods already invoiced are generally not refundable for change of mind, but nothing in these terms excludes, restricts or modifies any consumer guarantee, right or remedy that applies under the Australian Consumer Law or other legislation that cannot be excluded. If a service failure amounts to a major failure of a consumer guarantee, you are entitled to the remedies the law provides.
